This is a guest post written by the CEO and Founder of Pimberly, Martin Balaam.
Most HVAC distribution leaders never see a product data problem directly. They see what it causes. A new supplier line takes weeks to appear on the website. Counter staff and inside sales spend their day answering questions the product page should have answered. The website, the print catalog and the counter system show different information for the same part. Orders go out with the wrong item, and the knowledge of which part replaces which sits with a few experienced people who will not be there forever.
Meanwhile, the topic getting the most attention in B2B right now is agentic commerce, where AI agents find, compare and eventually buy products on a buyer's behalf. Gartner predicts that by 2028, 90% of B2B buying will be intermediated by AI agents (Digital Commerce 360). It matters to distributors because an agent decides what to recommend by reading product data, and it passes over what it can't read.
These two things are closely connected. A distributor with clean, structured, enriched product data across its whole catalog runs better today, and has already done most of the work of being ready for AI agents.
Nobody is suggesting contractors will hand their purchasing to software next year. Contract pricing, credit terms, and approvals mean a person still signs off on most B2B orders.
What is changing sooner is how buyers find products and suppliers. A contractor on a job site asks an AI assistant for a replacement motor that fits a specific furnace and is in stock nearby. A facilities buyer asks a procurement tool to shortlist suppliers for rooftop units that meet a spec.
A person still approves the order, but software has already decided which products and which distributors that person sees.
Distributors have always won business on relationships, availability, and expertise.
An AI agent can't see any of that unless it shows up in the data. It can't call the branch or ask the counter rep.
If a product's specs are incomplete, or the details are buried in a PDF, or the same part is described three different ways, the agent can't confirm it is the right one and recommends a competitor whose data is clear.
That makes product data a sales and visibility issue as much as an operations one. In HVAC, where so many purchases come down to whether a part is compatible, much of that answer currently lives in people's heads. We covered why that happens in how PIM solves the data dilemma in modern distribution networks.
The category of software built for this is called product information management, or PIM. A PIM gives every product one complete, accurate record and sends it to every place that product is sold.
Pimberly is a PIM built for distributors with large catalogs and many suppliers. It takes in supplier data in whatever format it arrives and puts it into one consistent structure. It flags what is missing, and its built-in AI helps teams categorize and enrich products at scale. The finished record is published to the website, the ERP and the catalog, so every channel says the same thing.
The investment pays off twice. Today, new lines get to market faster and the website answers more of the questions that currently go to the counter.
As AI agents become part of how contractors buy, the same data is what gets a distributor recommended.
You don't need to be close to the data to find out where you stand.
How long does it take us to get a new supplier line onto the website?
Do the website, the catalog and the counter system show the same information for the same product?
If our most experienced counter staff left, where would their cross-reference knowledge be?
Who owns product data here, and what are they working with?
The answers will tell you how ready the business is for agentic commerce, and how much product data is costing it already.
